Connecting existing bills

If you were already creating supplier bills in Xero before connecting Logistified, those bills and your purchase orders don’t know about each other yet. Connecting links a purchase order to its existing bill so future pushes update that bill instead of creating a duplicate. You can connect one order at a time from its Accounting card, or many at once from Settings.

Connecting is link-only:

  • Nothing is written to Xero. The bill is not modified in any way at the moment you connect it.
  • The order’s Accounting card switches to “Connected — not yet updated” and its action button becomes Update Bill.
  • If the bill is already fully paid in Xero, the purchase order is immediately marked as paid.
  • If the supplier isn’t linked to the bill’s Xero contact yet, the connect dialog offers a checkbox — “Also link [supplier] to [contact]” — so the supplier and contact get linked in the same step.

On the order’s detail page, open the Accounting card and click Connect existing bill. A picker dialog opens showing recent bills from the connected organisation — Draft, Submitted, Authorised, and Paid bills; voided bills can’t be connected. Search by bill number, reference, or contact name; each row shows the contact, date, total, and how much is still owed on partially paid bills.

Pick the bill and click Connect bill. The bill must be in the same currency as the supplier — a mismatch blocks the connection, since the order’s lines could never post correctly onto that bill.

Connecting doesn’t reconcile any differences between the order and the bill — it only creates the link. The first time you click Update Bill afterwards, the bill’s contents are replaced with the order’s version, exactly as described in How bill sync worksincluding renaming the bill’s number to the purchase order’s number. Payments and credit allocations on the bill are untouched, as always.

Open Settings → Accounting → General. Once at least one organisation is connected, a Connect existing bills card appears — click Find matching bills on the organisation you want to scan.

The review dialog pairs bills with purchase orders automatically when the bill number exactly matches the order number, and lets you pair the rest by hand:

  • A summary line shows how many bills were checked, how many were already connected, how many had no matching order, and how many had ambiguous numbers (the same bill number appears more than once in Xero — those are never auto-paired; use manual mapping).
  • Pairs whose currency doesn’t match the supplier’s are shown but can’t be selected.
  • A Manual mapping section lists unmatched orders with a bill picker on each row, for bills whose numbers don’t line up with order numbers.
  • Click Connect N bills to apply. Each pair goes through the same validation as the single-order action, and a results summary shows what connected and what failed, with reasons.
  • One bill per order, one order per bill. A bill that’s already connected to another purchase order can’t be connected again.
  • Voided bills can’t be connected.
  • Currencies must match between the bill and the supplier.
  • Bulk matching scans the newest bills first; very old bills may need the single-order dialog instead.
