Operators & PINs
By default a Label Checker session scans anonymously — anyone holding the link can scan, and scans aren’t tied to a person. Operators let you name your warehouse staff, give each a 4-digit PIN, and require a PIN to scan in a session. Every scan is then attributed to whoever entered the PIN.

Managing operators
Section titled “Managing operators”Settings → Cloud Platform → Operators tab.
The list is searchable (by name, email, or employee number) and sortable by any column. Each operator has:
- Employee number — optional. A numeric identifier for the operator, useful for teams that use staff IDs. Stored as entered (leading zeros are preserved). Operators without an employee number sort to the bottom of the list.
- Name — required, and must be unique.
- Email — optional.
- 4-digit PIN — required; exactly four digits (
0000–9999).
The PIN is stored hashed and is never shown back to you. In the list it appears as •••• (set) — you can replace it, but you can’t read it.
Adding and editing
Section titled “Adding and editing”- Add operator — click Add operator, enter an optional employee number, a name, an optional email, and a 4-digit PIN, then confirm.
- Edit — the pencil icon. Change the employee number, name, email, or PIN. Leave the PIN field blank to keep the existing one (it shows
•••• (unchanged)).
When you change an operator’s PIN or name, Logistified immediately re-syncs every active session that includes them — so a changed PIN takes effect right away. You’ll see a Security sync confirmation telling you how many active sessions were updated (and flagging any that failed).
Deleting an operator
Section titled “Deleting an operator”The trash icon, with a confirmation. Deleting an operator removes them from every active session’s PIN gate so they can no longer scan — but their past scan history keeps their name, so your records stay intact.
Gating a session with operators
Section titled “Gating a session with operators”When you create or edit a session, an Operators (PIN gate) picker lets you choose which operators may scan that session:
- Pick one or more operators — only those people can scan, and each must enter their PIN on the device. Scans are attributed to them.
- Pick none — the session scans without a PIN gate (anonymous), the original behavior.
Assigning operators is optional and independent per session. If you haven’t created any operators yet, the picker points you to the Operators tab.
The PIN re-login timeout
Section titled “The PIN re-login timeout”For sessions with operators assigned, the device stays unlocked for a while after a PIN is entered, then asks for the PIN again once the device has been idle. Configure how long under Settings → Cloud Platform → Label Checking → PIN re-login timeout:
- Idle timeout (seconds) — default 30 seconds, minimum 5 seconds.
- Never re-prompt — the operator stays logged in until the page is reloaded or the session is revoked.
- Update all active sessions immediately — apply the new timeout to sessions that are already issued, not just future ones.
